
In the previous article we talked about when it is time to digitize your business. Now let’s look at the concrete steps. You do not need technical knowledge, and you do not need a full day. Going from zero to being ready to accept reservations takes around 8 minutes, split into four short steps.
It is important to understand the logic before you begin, because the entire platform is built around four connected “building blocks”: the business profile is your public page; activity types are the templates for your services; the calendar and classes (slots) are the specific time slots when an activity actually takes place; and reservations and clients are the people booking a class and their history with you. Once you understand this hierarchy — Activity → Class (Slot) → Reservation — everything else becomes logical, instead of guessing why the system asks for one field or another.
Your business profile is your public page — the place where clients actually make reservations — and at the same time the gateway to your account administration area.
Open clickandfit.eu/information/b2b and click “Create business profile.” The form asks for a few things:
After you click “Create business profile,” the profile is active immediately — with a 30-day free trial period. The platform welcomes you with an onboarding checklist covering the four steps from this article, so you always know what comes next.
If the business profile is your “business card,” the activity type is your product card — it defines the price, duration, capacity, and booking rules. This is where you tell the system exactly what you offer: a yoga class, a personal training session, Pilates, and so on.
Go to “Activity types” → “Add new activity type” and fill in:
If you have a team, this is also where you assign an instructor to the activity — click the cap icon to open the list of available staff members and add the instructor you want.
Tip: The “Reservation approval” setting is usually the one that creates the most hesitation. If you are just getting started and want the fastest possible process for the client, choose automatic approval. If you prefer to review each new person before confirming their spot, the recommended default option does exactly that without preventing your regular clients from booking instantly.
The activity type is the “template.” The class (slot) is the specific date and time when it actually takes place — and that is exactly what clients see as a bookable time in the calendar.
Open “Calendar,” click the desired day, press “New slot (class),” and choose which previously created activity you want to schedule on that specific day. Enter the time, number of places (preloaded from the activity, but you can adjust it for that day), duration, and whether the class repeats.
If you have a stable weekly schedule, there is no need to enter each day individually — with “Duplicate week” you can copy an entire week into future empty weeks in one go. It saves hours, especially at the start of a new month.
When opened, each class in the calendar shows three tabs you will use constantly: “Reservations” — a list of booked clients with phone and email; “Waiting” — clients who joined the waiting list for a full class and are notified automatically when a spot opens up; and “Check-in” — the operational screen for the class day itself. If you receive a booking by phone, the client does not need to be online — from the “Add” button inside the class, you can add an existing registered client, a new “ghost” client by name only (useful for one-time visitors), or place them directly on the waiting list if the class is already full.
This is the final step — and the moment when you actually start getting clients. In the onboarding checklist, one icon copies the link to your public profile directly to the clipboard; another opens a QR code generated from the same link, handy for printing on a poster or sticker in your front window.
The public page (clickandfit.eu/your-name) shows your name, description, and calendar, where clients can choose and reserve a slot directly — no phone calls, no waiting for a reply in messages. This is the link you place in your Instagram bio, Google Business Profile, on business cards, or on a QR sticker at the entrance.
The four steps above are enough to start accepting reservations. Everything else is for day-to-day or periodic use:
All of this comes naturally over time — at this stage, only one thing matters: the first 8 minutes of setup, and you are ready to accept reservations online.
Can I change the settings later? Yes — the name, description, prices, capacity, and approval settings for each activity can be edited at any time without losing existing reservations.
What if I already have clients listed in Excel? You do not need to enter them all at once. You can start only with new future reservations and let your client database grow naturally as people book through the new link.
Do I need more than one activity? No — you can start with just one (for example, “Group Workout”) and add new activity types later as you expand your offering.
What happens if a class already has reservations and I want to remove it? Full deletion is available only if the class has no booked clients. If people are already signed up, the option automatically becomes “Deactivate slot” — it hides the class from new reservations without affecting the people who have already booked.
